What should you say in a thank you note to a colleague?

The wording of your message will depend on why you are thanking them.

  • Be specific about why you are thanking them.
  • Do they give you gifts? Did they help you with the training? Do they support you? They’re leaving the company and you want to send them a thank you and goodbye message? Do they provide food for lunch? Surprise the team with bagels?
  • Include the person’s compliment or gift.

Writing thank you notes is the hardest part of note taking. Although I recommend being as specific as possible, here are a few short phrases you may want to include.

  • You are the best colleague.
  • You are an excellent colleague.
  • I love working with you.
  • I love collaborating with you.
  • Thank you for the gift.
  • Thank you very much for the gift.
  • I appreciate the training you have given me.

Words of appreciation for coworkers

How to thank your colleagues?

If you thank a colleague, I recommend that you write a handwritten letter if you work in the same position as this colleague. Some people like to display them on or near their desk.

You can give the note to the person or leave it on their desk (if they have a desk). I do not recommend asking your colleagues for their home address.

If you don’t have a flashcard (or want to buy one), yesFree printable thank you cards are here.

Emailing a thank you note to a colleague is probably the most common way to send a message in the office. And you might want to copy their boss over email. However, it will depend on why you are thanking your colleague. Your boss doesn’t need to know about the gift he gave at your wedding, but may appreciate knowing the help he received. Use at your best discretion.

How to write a thank you letter to a group of colleagues

If you need to thank a group of colleagues, using email will be the easiest option. You can write a thank you message and email it to everyone at the same time.

Thank the team by matching gifts from the whole team or a group of coworkers. You can also use group emails to thank your colleagues for working with you or helping you in some way.

Mail groupSHOULD NOTused when receiving individual gifts or helping a colleague. In this case, write each colleague a note about the gift he gave you.

Yeah, it might be a little old-fashioned—but it’s also the ultimate in class.

Step 1: Decide length \u0026 paper size

Figure out how long your thank you letter is going to be, and choose a paper size accordingly. You don’t want to have to write REALLY BIG to take up the space.

Tip

A thank you letter should be on high-quality paper or note card stock.

Step 2: Decide handwritten or typed

Decide if your thank you letter will be handwritten or printed. A personal thank you letter should be handwritten, while one written for business purposes may be typed.

Tip

If you’re addressing a formal note to a female, make sure you use her preferred title—Miss, Mrs., or Ms.

Step 3: Start by thanking person

Start by thanking the person—and then provide a specific example of why their gift or gesture is so appreciated. For example, “Thank you so much for the toothbrush, which I will certainly put to good use twice a day!”

Tip

If the gift was expensive, acknowledge it politely and let them know you’re grateful.

Step 4: Refer to past \u0026 future

Refer to the past and the future. For example, you might say to a family friend, “You’re so kind to always remember my birthday,” and “I’m looking forward to seeing you over the holidays.”

Step 5: Close w/ personalized thanks

Close with a final personalized thanks, such as, “Thanks again for such a cool gift; I know you went to a lot of trouble to get it.”

Step 6: Proofread note

Proofread the note, or your next gift might just be a dictionary.

Did You Know?

According to a survey, 58% of moms say their children write thank you notes.
