How to write a thank you letter – general analysis.

Before we dive into thank you letter etiquette, let’s start our thank you letter writing journey with a general breakdown of the anatomy of the thank you letter. This applies to most thank you notes, no matter what you’re writing them for. For each case or reason you might want to change a few things, but for the most part it can apply to anything.

1. Begin with a greeting.

It may seem obvious, but generally you’ll want to start your thank you message by greeting the recipient. Whether you choose to do this formally or informally will depend on a few factors.

If you know your recipient and it’s not a formal thank you card (like a business interaction), you can easily address them by their first name. For example, if you’re writing to your roommate thanking them for all the great memories, you can use their name.

For those of you who aren’t very familiar, stick with Grandma and Grandma’s last name.

  • Dear Aunt Jody
  • Johnny!
  • Dear Mr and Mrs Jones,
  • Dear Miss Donnett,

2. Get straight to the point and express your thanks.

Do not waste time and explain why you are writing – to thank them. The purpose of this card is to let them know you appreciate their gesture/gift/time, so make sure they know it right away.

And while you’re at it, be sure to mention something you’re grateful for.

  • Your birthday card made my day, thank you so much!
  • Your birthday present is perfect, thank you for thinking of me.
  • Thank you very much for your generous wedding gift.
  • Thank you for giving me the opportunity to interview for a senior design position.

3. Mention one or two specific details.

Specifically, what is your favorite gift from them? No need to exaggerate or exaggerate, if this isn’t the best pair of sunglasses you’ve ever seen…don’t say so. However, mention something specific that you appreciate, or perhaps how you use their gift in your life. People like to know that their time and effort has been appreciated and used!

  • I would love to use my birthday money for a trip to California next week!
  • I wore your graphic tee today and got so many compliments!
  • We have been making smoothie makers for a month; We feel good.
  • It was really exciting getting to know your organization and learning more about the lead designer role.

4. Look to the future.

Sure, you’re excited about the mixer they have for you, but don’t forget to let them know that you appreciate them as an important person in your life. This may not apply in all situations, but if you’re likely to spend time with this person, you can mention this future meeting in your notes as a way to get the message across.

  • I look forward to having lunch with you next month.
  • I will visit your ancient forest in a few months, I can’t wait to see you!
  • We’d love to see you soon for dinner and more martinis!
  • I am really interested in this position and look forward to hearing from you soon.

5. Review Acknowledgments

Bring the focus back to where you started: being grateful to yourself. The content of the message should not be questioned. You can tone it down a bit, but try to stay away from excessive language.

  • I can’t believe you remember my birthday, thanks again!
  • Thank you again for thinking of me, it means a lot to me.
  • We appreciate your generosity, thank you for thinking of us.
  • I greatly appreciate your consideration.

End on a pleasant and friendly tone. Always keep in mind the type of relationship you have with the recipient(s) and sign accordingly (professionally or not).

  • Warm,
  • your bud,
  • With love,
  • The best,

Yeah, it might be a little old-fashioned—but it’s also the ultimate in class.

Step 1: Decide length \u0026 paper size

Figure out how long your thank you letter is going to be, and choose a paper size accordingly. You don’t want to have to write REALLY BIG to take up the space.

Tip

A thank you letter should be on high-quality paper or note card stock.

Step 2: Decide handwritten or typed

Decide if your thank you letter will be handwritten or printed. A personal thank you letter should be handwritten, while one written for business purposes may be typed.

Tip

If you’re addressing a formal note to a female, make sure you use her preferred title—Miss, Mrs., or Ms.

Step 3: Start by thanking person

Start by thanking the person—and then provide a specific example of why their gift or gesture is so appreciated. For example, “Thank you so much for the toothbrush, which I will certainly put to good use twice a day!”

Tip

If the gift was expensive, acknowledge it politely and let them know you’re grateful.

Step 4: Refer to past \u0026 future

Refer to the past and the future. For example, you might say to a family friend, “You’re so kind to always remember my birthday,” and “I’m looking forward to seeing you over the holidays.”

Step 5: Close w/ personalized thanks

Close with a final personalized thanks, such as, “Thanks again for such a cool gift; I know you went to a lot of trouble to get it.”

Step 6: Proofread note

Proofread the note, or your next gift might just be a dictionary.
